CRM Cleaning runs a set of checks on every scan. They are listed under Settings ▸ What the agent checks, in four groups:
  • Fixes and Duplicates propose changes that can be written to your CRM. Each has one setting: Off, Ask me or Do it.
  • Findings only report. What they find is listed in Findings and never changed by Clustr. Each has Off or Report.
  • Enrichment fills blank fields. See Enrichment.
What the modes mean is on Modes and settings. The column “Under Do it” below says what happens when a check is set to Do it: some changes still wait for you, because the check itself is not sure.

Fixes and Duplicates

Company domain never overwrites a domain with one that belongs to a different company. When the website points somewhere else (a careers site, a typo), it reports the mismatch in Findings as Normalize domain instead. Company association never matches on a personal email domain such as Gmail or Outlook, and never links to a company record that is really an email provider. Duplicates are matched on a shared email, website domain or LinkedIn URL, on a shared phone number, or on near-identical names. A match is certain, and merged on its own under Do it, only when the evidence agrees: a shared email, domain or LinkedIn URL, or exactly the same name, and names that agree. A shared phone number is never enough on its own: the names must agree too, and for contacts every record needs a full name. Names that are only similar, or where one name contains the other (Northwind and Northwind Group), always ask. A shared role mailbox such as info@ or sales@ never counts as the same person, and a phone number more than 3 records share is ignored. You can add your own match rules too, such as same first name, last name and company; a pair only your rule finds always asks. See Duplicates and merges.

New records

A contact or company created in the last 24 hours is checked for duplicates as soon as your CRM tells Clustr about it, instead of waiting for the next scan. The check compares it with the records Clustr already knows, on the same keys and rules as a scan.
  • A certain match under Do it is merged straight away. Any other match waits in Review, as it would after a scan.
  • Some company matches, such as near-identical names, can wait for the next scan, which checks them more closely. These always ask before a merge.
  • A record that was just merged away is never matched again, so a merge cannot set off another one.
  • A value shared by too many records, like an office number or a placeholder domain, is left to the scan.
The next scan finds the same match and keeps the change it made, rather than adding a second one. It runs while the schedule is on and merges are on. Turn it off with Check new records right away in settings. Email domain typos. When an address’s domain is one or two letters away from a common mailbox domain, such as gmial.com for gmail.com or hotmial.com for hotmail.com, Format & casing suggests the correction. It only knows a fixed list of mailbox domains (Gmail, Googlemail, Hotmail, Outlook, Yahoo, iCloud, Live, GMX, Web.de, T-Online, Orange, Free, Wanadoo, La Poste), never touches a real domain or one of your companies’ domains, and always asks, even under Do it.

Examples

The format standard

Format & casing only ever changes how a value is written. When a value could be read two ways, it is left alone. Long text, such as a company description, is never reformatted. Before writing, Clustr reads the value in your CRM again. If someone changed it since the scan, the format fix is not written. See conflicts.

Findings

These never write to your CRM, whatever your settings. They are listed in Findings.

Lifecycle rules

Which checks run, and which can fix things, depends on your CRM. See capabilities by provider.
